Final Submission

Once you have completed any changes recommended by the Thesis Examination Board you must submit the final copy of your work via digital submission through the Western University Open Repository.

Submitting the Final Copy of Your Thesis

Please note that revisions and final thesis submission are due 6 weeks after a successful thesis examination.

Your final submission must include:

  • Your thesis with recommended changes completed
  • Any supplemental content you wish to append to your thesis prior to publication

How to Deposit Your Thesis

  1. Download the most recent approved version of your thesis from Scholarship@Western including your title page. 
  2. Visit: https://uwo.scholaris.ca 
  3. Log in using your Western credentials.
  4. Click the "+" button on the left-hand menu, then select "New".
  5. From the list, choose "Item".
  6. Select the "Theses" option.
  7. Complete the metadata form and upload your thesis and any supplementary files.

Important Metadata Guidelines

Please pay close attention to the following when completing the metadata:
  • Name Format: Use the format Family name, Given names
  • Example: Gillani, Nafisa
    • Date of Issue: Enter the date of your successful thesis examination.
    • Filename Format:
      • Use: lastname_firstname_degree_year_thesis.pdf
      • Example: gillani_nafisa_mph_2019_thesis.pdf
  • SGPS recommends you upload your thesis as a .pdf where possible
  • For supplemental content, please use lastname_firstname_degree_year_filedescription
  • Embargo Requests: If you require a specific embargo date, please include the date in the Notes section.
Once your metadata is complete and your files are uploaded, you may proceed to deposit your work by selecting the "+Deposit" button at the bottom of the page.  SGPS will review and publish your work as soon as possible.
PLEASE NOTE: Your thesis requirements are not complete until your work is successfully deposited and published in the Theses repository.

Publication

After approval is received from your final approver(s), the Thesis and Membership Coordinator will audit your final submission to ensure it meets all regulations pertaining to thesis formatting. Once approved the work will immediately be published in the repository and you will be informed of the publication via email. Confirmations will also be sent to your supervisor and program administrator. Once the thesis is published, you have officially completed the thesis requirement for your degree.
